User Guide : O365 Phish Reporter (Non Ribbon Version)

This guide takes you through the user experience when reporting an email or how to report a suspicious email using the O365 Phish Reporter (Non Ribbon version). 

  Things to Note

  1. Outlook New Version, doesn't automatically make the Phish Reporter add-in visible. Learner is required to enable the Phish reporter add-in view in Outlook "Customise view" settings. This can be customised individually from their machine, to ensure that Phriendly Phishing Reporter button is visible.
  2. Statement above is a limitation from Microsoft side for third party add-ins where "Customise view" settings cannot be pushed across the whole tenancy.

Set-up Phish Reporter button for OWA and Outlook New Version

  1. Access Outlook from your browser. 
  2. Double click or open any email in a new window. Select the three dots > Customise actions. Guide1.png
  3. Check the box for Phriendly Phishing and hit save. guide2.png
  4. The Phish Reporter add-in should appear after few hours, once the customised settings are synced across your user account. guide3.png
  5. Otherwise check for the Phish Reporter button in the App menu.

  6. To change settings, click the Phriendly Phishing Phish Reporter icon > Settings.

  7. Below are the two settings available.

        Platform Administrators can limit the permissions to these settings, refer to Phish Reporter : Settings Configuration and Compatibility

How to report an email using Phish Reporter button

  1. Highlight in the preview pane the email you wish to report, click the Phriendly Phishing Phish Reporter icon and report the email.
  2. You also have the ability to report an email by selecting the ‘Three Dots’, scrolling down to find ‘Phriendly Phishing’, and then selecting ‘Report phishing email'. blobid6.png
  3. You will see this message above the email.
  4. If you have not ticked 'Do not show prompt after reporting', then you will be prompted with this message. Select 'Ok'.

  5. This step only happens if you are reporting an email for the first time. Click ‘Allow’ and log into with your Microsoft credentials.

  6. The add-in will ask for permissions, click ‘Accept’.

      Note

    1. Global Administrator can accept these on behalf of the organizations and this might not be visible to users. 
    2. Since the deployment of Nested App Authentication for Office Add-ins, the requirement to sign-in with your Microsoft Credentials frequently (e.g. note the first time reporting an email) is expected to significantly reduce. 
  7. You will then get a confirmation that the email has been reported. Click ‘OK’.

      Information: The pop-up message depends on how Phish Reporter custom message is configured.

  8. The email reported will be moved into your deleted items. However if you reported Phriendly Phishing training email, it stays in the Inbox. 

Report an email via Outlook Desktop application (Outlook Classic and New version)

  1. Find the Phish Reporter ribbon at the top of your screen or under Apps when highlighting the email to report.
  2. To report an email, either highlight the email in the preview pane or double click to open it as a new window. Click on the Phish Reporter ribbon and Report. 
  3. Once reported, notification like below will appear. The custom message depends on the reported email (e.g. Phriendly Phishing Training Email, Phriendly Phishing Simulation Email, Suspicious Email)                               
  4. Click Ok. The reported email is then moved to your Deleted folder.
  5. If reporting an email for the first time using this version, you will be asked to log into with your Microsoft credentials . 

          

Report an email via Outlook mobile device (Android or iOS):

iOS Devices

  1. Click on the email.
  2. Click on the 3 dots, at the upper right side of your screen. A window will appear, scroll down to find the Phish Reporter icon. 
  3. Click Report.

Android Devices

  1. Click on the email
  2. Click on the 3 dots, upper right side of your screen. A window will appear, scroll down to find the Phish Reporter icon.
  3. Click Report.

  Congratulations! You have now successfully reported an email! Repeat this process for any other suspicious-looking emails.
