When staff leave the Organisation, we want to ensure your learner list is updated and previous employees are removed from the Phriendly Phishing portal. Once a Learner is removed, Historical Data is deleted and the license is then available to schedule a new learner into an active Phishing Simulation or Training block.
There are 2 ways a Learner is removed from your account:
Manually removing a Learner
Important
This is only applicable if you are not using Automatic Synch. Meaning the User Synchronisation should be disabled.
Note: If learner is removed manually even when Learner Synchronisation is enabled, removed learner will be resynched on the next scheduled synch.
Removing Individually
- Go to the Learners tab and click on your organisation.
- Enter the first or last name, or email address of the learner in the search box, select the learner by ticking the box next to their name. Then, select the Choose Action, drop-down and select the Remove option.
Note: You can select multiple learners, tick the box next to their name. -
A pop-up box will appear to Remove Learner, Select OK.
Note: This action can't be undone, please make sure you have selected the correct learner.
Removing in bulk
- Go to the Learners tab and select the Add/Manage Learners button in the top right.
- Select Remove Learners to manually remove learners individually or a group using a CSV list.
- Choose which method you'd like to remove learners by either Importing from CSV or Adding learners manually. Once the list is uploaded / added, review the format of information and click Next.
Automatically removing a Learner
If you are synching Learners straight using Automatic Synch, remove the learner from the Security Group synched into Phriendly Phishing platform. Once learner is removed from the group, learner is then removed on the next scheduled synch.
Learners removed will show under Notifications
